The aim of the new document system is to develop and make available to users a complete set of services, delivered in desk and mobile mode, including individual productivity, team collaboration, content management, process automation and document workflow.

Objectives

The 'New Document System - DocSpace' project aims to facilitate the digital transition of the PA in terms of dematerialisation of processes and streamlining the work activities of the Department of the Treasury, Public Bodies, Private Organisations and the Citizens concerned, facilitating the implementation of agile transversal working methods and enabling business continuity during and after the pandemic emergency.

Collaboration

The new document system provides a complete set of services, delivered in desktop and mobile mode, including individual productivity, team collaboration and content management.

Process automation

The New Document System provides for the automation of processes and document workflow, allowing for the reduction of processing time.

Artificial Intelligence

The new document includes powerful artificial intelligence (AI) capabilities for content comprehension and process automation.

Hybrid Cloud

The choice of a hybrid cloud platform allows the department to be more flexible and faster in guaranteeing new services to users and, above all, in ensuring cost-effectiveness in terms of both the green transition (dematerialisation of processes) and the digital one.

New Document System - DocSpace's areas of work

Areas of work

The line of intervention envisages the implementation of the new Document System of the Department of the Treasury, through an initial process assessment phase, followed by the proposed redesign of the new system and its implementation. The intervention introduces innovations from an architectural/technological as well as a functional and operational point of view, and also includes integration with ALICE (Artificial Intelligence Document Classification Service)

The line of intervention envisages the implementation of integrations between the Document System and vertical applications that affect PA users and citizens from the perspective of social sustainability, economic development, green and digital transition. Specifically, the additions relate to the following applications: Management of Italian debt (GEDI), Management of commercial transactions for arms traffic (SIGMA DT), Management of financial offences (e-FIM), Management of International Financial Sanctions (GeSafin), Management of Current Accounts of Passport Transfers in Foreign Currency (CCVT), Management of Anti-usury Fund (GFA), Management of shareholdings (Shareholdings), Exclusion of State Guarantees (e-Guarantees).

The line of action includes the development of a mobile app that enables authorised users to view the signature book and perform the main actions of Remote signature, Automatic signature, Signature, Approval and Referral for modification. The app is for Tablet devices with iOS and Android operating systems, available on Google Play for Android platforms and on Enterprise distribution for Apple platforms.
